What are the fees and deadlines for conference registration?

  • NFCB members can take advantage of early registration from March 13 – May 14, 2023 for $450.
  • Regular registration for member stations will be open May 15 – June 18, 2023 for $500.
  • Non-members can register for the conference from March 13 – June 18 for $600.
  • Pre-conference intensives, taking place on June 28, 2023, cost $150. You must register for the full conference in order to attend an intensive.
  • NEW: limited livestream: four general sessions, six breakout sessions (TBD), cost $150.

Can I pay for my registration via check?

Yes, you can register to attend the conference,  select “Pay By Check” on the registration page, and an electronic invoice will be sent to facilitate payment via check. Conference registration payments via check must be received no later than May 28, 2023.

What is NFCB’s conference registration cancellation/refund policy?

If, after registering, you find that you are unable to attend the NFCB 2023 Community Media Conference, you may cancel your registration by providing written notice via our Conference Contact Us form. Registrations may be fully refunded, minus a $50 processing fee, if a cancellation request is made no later than May 28, 2023. Cancellation requests received after the cancellation cutoff date of May 28, or cancellation due to nonattendance, will not be refunded. Please remember that canceling your conference registration does not automatically cancel your hotel and travel arrangements.

Substitution of registrations may be made at any time through June 18, 2023, but must be from within the registered attendee’s organization. To initiate a substitution, please use the Conference Contact Us form. All substitutions must be approved and will be at NFCB’s discretion. Where can I get a copy of my registration confirmation or payment receipt?

The conference registration webpage should have sent a confirmation message to the email address you used to complete your registration, so please check your Spam folder to make sure you didn’t already receive confirmation. However, if you need a new copy of your registration confirmation email or payment receipt, we are happy to help – please use the Conference Contact Us form to request one.

Attending the Conference: What to Expect and How to Get There

What is the 2023 conference schedule?

Here are the highlights:

  • Pre-conference intensives take place Wednesday, June 28 from 9:00am to 4:00pm. An opening reception will be held that evening from 5:00pm to 7:30pm.
  • Two full days of conference sessions will take place Thursday, June 29 and Friday, June 30 from 9:00am to 5:00pm.
  • A closing reception will take place at the Buell Public Media Center (details TBA) Friday evening, June 30 from 6:00pm to 8:00pm.

Will there be a virtual conference participation opportunity?

Yes! New this year, we are offering a limited livestream opportunity to accommodate as many participants as possible. The four general sessions (two morning keynotes, two afternoon plenaries), and six breakout sessions (3 each day) on a variety of topics will be livestreamed on June 29 and June 30 (9:00am to 5:00pm both days; more details to be announced soon). You can register for the livestream option on our conference registration website at a cost of $150. Livestream attendees will be provided with a unique link in late May (once our conference app has been launched) to access the livestream sessions that take place during the conference.

Will conference sessions be recorded and made available after the conference?

No, however we will hold two webinars in the fall to reprise two select conference sessions.

What meals will be provided at the conference as part of my registration fee?

Wednesday, June 28: Box lunches will be provided to pre-conference intensive attendees. Hors d’oeuvres will be provided to all conference attendees during the 5:00pm to 7:30pm opening reception (a cash bar will be available at the reception).

Thursday, June 29: Lunch will be provided to conference attendees. Attendees who stay at the conference hotel will have access to a complimentary made-to-order breakfast. Dinner will be on your own.

Friday, June 30: Lunch will be provided to conference attendees. Attendees who stay at the conference hotel will have access to a complimentary made-to-order breakfast. The closing reception on Friday evening (6:00pm to 8:00pm) will include hors d’oeuvres. Dinner will be on your own.

Can you accommodate dietary restrictions? How do I let you know what they are?

Yes, the hotel will provide vegetarian, vegan, dairy-free and gluten-free options for the seated lunches. You will be able to indicate your dietary needs on the conference registration form, and you will receive additional information on how to convey your dietary restrictions to hotel staff when you check in for the conference at the registration desk. If you have additional dietary needs that are not covered on the registration form, please use the Conference Contact Us form to get in touch.

Will there be Wi-Fi at the conference?

Yes. Complimentary Wi-Fi will be available throughout the conference meeting floor. If you’re staying in one of the conference-block hotel rooms, you’ll receive complimentary Wi-Fi in your room.

How do I reserve my hotel room, what is the cost, and what's included?

Once you complete your conference registration, you will be provided with a link to use to make your hotel reservation. Rooms that are part of the discounted block of rooms at the conference hotel cost $209 per night plus taxes (currently 15.75%). You must book no later than May 28, 2023 to receive this rate. Guest rooms at the hotel are non-smoking, one-bedroom suites with one king bed or two queen beds. They include a separate living room with sofa sleeper, wet bar, microwave, coffee maker and mini refrigerator. Note, there is an additional person charge of $15.00 per person, per day, for triple/quad occupancy. Hotel guests will receive a complimentary cooked-to-order breakfast.

What is the hotel’s cancellation policy?

You may cancel your room reservation without penalty up to 48 hours prior to your scheduled arrival date. In the event you cancel your reservation within 48 hours prior to your scheduled arrival date, or otherwise fail to show up for your reservation, the hotel will charge you one night’s guest room rate and tax.

How can I request accessibility accommodations and/or services at the conference?

When you register, check the box that reads “I require accommodations for a disability.” We’ll get in touch with you for more information about the services you require.

Where should I fly in and how do I get to the conference hotel?

For those traveling to the conference by air, Denver International Airport is the most convenient airport to fly into. The airport includes a variety of ways to get to downtown Denver, but one to highlight is the A Line Commuter Train, which conveniently takes you to Denver Union Station. From there, it’s a quick walk to the free 16th Street MallRide, and then another short walk to the conference hotel, Embassy Suites by Hilton Denver Downtown Convention Center, located at 1420 Stout St., Denver, CO.

 

For those driving to the conference, there are pay parking lots close to the conference hotel.

When should I arrive?

If you plan to attend a pre-conference intensive, those are taking place Wednesday, June 28, from 9:00am to 4:00pm. The two days of the full conference take place Thursday, June 29 and Friday, June 30, with both morning keynotes starting at 9:00am and the last afternoon sessions concluding at 5:00pm. Conference sessions conclude Friday, June 30 at 5:00pm, and there will be a closing reception at the Buell Public Media Center that evening from 6:00pm to 8:00pm.

Do I need to get the conference mobile app? Why? When will it be available?

Yes, please do download the conference app! It will be available to download in late May, and we will send out download instructions to all registered attendees as soon as it is available. For those participating in the limited livestream option, it will be necessary to use the conference app (via either phone or desktop computer) to access the livestreamed sessions. For those attending the conference in person, the app offers many convenient features, including a way to build a schedule of the sessions you want to attend, a way to provide feedback about each session (which helps us greatly in improving future conferences), and real-time updates about conference happenings. Please note: To access our conference app, you will need to register with the app using the same email address you used to register for the conference.

Will there be a list of conference attendees that includes contact information?

Will I be required to show proof of COVID-19 vaccination?

No proof of vaccination will be required for the 2023 conference.
